Terms of service

These terms are the agreement between Elixon LTD, which operates Runavel, and the studio that uses it. By creating an account you accept them on behalf of that studio.

Who we are

Runavel is operated by Elixon LTD, registered in England and Wales under company number 11639021, at 51 Roundmead, Bedford, United Kingdom, MK41 9HY. You can reach us at support@runavel.com.

What Runavel is

Runavel is software for running a tattoo studio: appointments, client records, signed consent forms, records of the deposits and payments you take, artist profiles and a public page for the studio. It is a tool you use to run your business. It does not provide tattooing, medical, legal or accounting advice, and it does not decide anything on your behalf.

Runavel does not take payments from your clients. You collect deposits and payments however you already do - cash, bank transfer, your own card machine - and record them here. Money from your clients never passes through us, and refunding a client is between you and them.

Early access: what stage this is at

Runavel is in early access. It is a working product that real studios run on, and it is also still being built: features are added, screens change, and things are occasionally put right in public. We would rather tell you that here than have you discover it on a Tuesday.

What that means in practice, plainly:

  • Things will change. Screens move, wording changes, and a feature you use may work differently next month. We do not remove something you rely on without saying so.
  • Something may go wrong that neither of us predicted. That is what building in public means. When it does, we say what happened rather than quietly fixing it - every release is listed on our changelog.
  • Your work is backed up and your data is yours: you can export your clients, bookings, payments and signed forms at any time, in formats you can open elsewhere. That is what makes early access a reasonable thing to ask of you.
  • Ask us. If something looks wrong, tell us rather than working around it. A studio's report is how most of this gets fixed.

None of this reduces what we owe you under the rest of these terms, or under the law.

Accounts

Runavel is for businesses. You must be at least 18 and authorised to enter into this agreement for your studio. You are responsible for what happens under your account, including what the people you invite to it do. Keep your credentials to yourself; turn on two-factor authentication if more than one person can reach the account.

We may suspend an account that is being used to break the law, to harm someone, or in a way that puts other studios' data at risk. Where we can, we will tell you first and give you a chance to put it right.

Subscriptions and payment

Runavel is a paid product with a free trial at the start. A new studio gets 14 days of the back office without giving us a card. After that you choose a plan and pay for it to carry on. Payment is handled by Stripe - we never see or store your card details.

The trial covers the back office only: your studio's public page is not published until your first payment succeeds. Nothing is charged during the trial and it does not turn into a subscription by itself - if you do not choose a plan, the account simply stops letting you add new work, and what you entered stays where it is.

Plans are billed monthly in advance. A subscription renews automatically until you cancel it.

We may change prices. If we do, we will tell you before the change applies to your subscription, and you can cancel rather than accept it. A price change never applies to a period you have already paid for.

Cancelling, and what happens if payment stops

You can cancel at any time from within the application. Cancellation takes effect at the end of the period you have paid for - you keep full access until then, and we do not refund a part-used month unless the law requires it.

If a payment fails we do not shut you out on the same day. You keep full access for a grace period while the payment is retried. After that, an account that has paid before becomes restricted rather than closed: everything stays visible, appointments already in the diary can still be completed, and your studio's public page stays up - but nothing new can be created until the account is paid up. We do not take a studio's website down in front of its own clients over a billing state those clients have nothing to do with.

Refunds

Runavel is billed monthly in advance. You can cancel at any time from Plan and billing; your studio keeps working until the end of the month you have paid for, and you are not charged again.

We do not refund part of a month you have already started, because you keep full access for all of it. There are two exceptions, and we apply them without argument:

  • We charged you for something you did not agree to - a plan change you did not make, a subscription you had already cancelled, or a duplicate charge. We refund it in full.
  • Runavel was unusable for a significant part of the month because of a fault on our side. We refund that month in proportion, on request.

The trial exists so you can decide before paying anything, which is why it asks for no card. If you are unsure at the end of it, ask us rather than paying to find out - we would rather extend a trial than take money you did not want to spend.

Refunds go back to the card that paid, usually within 5 to 10 working days once we have issued them.

This covers what you pay us. Deposits and payments your own clients give you are not ours to refund - see above.

You are buying Runavel for your business, so the cancellation rights that apply to consumers buying for personal use do not apply here.

Plan limits

Plans include allowances - how many artists, locations and how much photo storage. Reaching a limit stops you adding more of that thing until you move up a plan; it never deletes anything you already have, and it never blocks taking a booking. Your diary is how your studio earns; it is not a lever we pull.

Your data, and your clients' data

The client records, consent forms and photographs you put into Runavel remain yours. In data-protection terms your studio is the controller of that information and we are a processor acting on your instructions. We do not sell it, and we do not use it to train anything.

You are responsible for having a lawful basis to collect what you enter - in particular consent forms, which may include health information - and for telling your clients how you use it. Our privacy policy explains what we do with it on your behalf.

You can export or delete your data from within the application. The export gives you a spreadsheet for each kind of record - clients, bookings, payments, enquiries, consents, artists, studios and services. Signed consent PDFs are listed in it with a link to each one rather than bundled, because they are encrypted where they are stored and decrypting all of them into a single file would undo that protection. Some records - signed consents and payment records - are kept even after an erasure request, because we are required to retain them; the privacy policy sets out for how long.

Acceptable use

Do not use Runavel to:

  • break the law, or help someone else break it
  • store data you have no right to hold
  • attack, probe or overload the service, or try to reach another studio's data
  • resell access, or run it as a service for studios that are not yours
  • upload material you do not have the rights to publish

Availability

We work to keep Runavel available and we monitor it, but we do not promise a particular level of uptime. Maintenance, provider outages and faults happen. If the service is unavailable for a prolonged period, contact us and we will discuss it with you honestly.

Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

Subject to that, we are not liable for lost profits, lost business or indirect loss, and our total liability in any twelve-month period is limited to the amount you paid us in that period. Runavel is a tool for running your studio; the decisions you make with it, and the obligations you owe your own clients, remain yours.

Ending the agreement

You may stop using Runavel at any time by cancelling. We may end the agreement if you seriously or repeatedly break these terms, or if we stop offering the service - in which case we will give you reasonable notice and time to export your data.

Changes to these terms

We may update these terms. The date at the top always shows when they last changed. If a change materially affects you we will tell you before it takes effect, and continuing to use Runavel after that means you accept it.

Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
